dedication and a specific skill set. Others don't require any training or
special skill, but the help is just as important. If you are interested in

Holly House Gala Director
Do
you love to throw big theme parties where people dress up and spend lots of
money? Where the laughter and fun never
quits? Where people leave wishing the
next Holly House Gala was right around the corner? Holly House is looking for a Gala Director
for our yearly Holly House Gala, are you the one to lead us in this amazing
event?
Duties
include:
- Chair the yearly Holly House Gala Committee
- Assist and lead the Gala team in creating, organizing and implementing a fundraising strategy to help attain the Holly House fundraising goals for the Gala
Planning
and Preparation for the Gala:
- Oversee the direction of the Gala from start to finish, including logistical support, planning, staffing, publicity, marketing, fundraising, ticket sales, auction and wine procurement, and Day of Event management
- Create and monitor an event timeline – timeline example available or use your own
- Work with the Executive Director to create a budget for the Gala
- Oversee Gala expenses/overall budget
- Chair monthly/weekly Gala committee meetings
- Work closely with the various Gala committees
- Work with the Executive Director as needed
- Assist with and provide board members and team members a procurement idea sheet for the silent and live auction items
- Hold Gala committee members to the Gala timeline
- Oversee silent and live auction donations
- Oversee that all auction items are “auction ready” with bid sheets, complete data entry, and all corresponding paperwork
- Work with venue and other vendors on the production part of the event
“Day
of Event” Duties:
- Provide a “Day of Event” schedule, may have access to venue for 2 days
- Prepare the schedule of events that ensures efficient use of staff and volunteer time as well as keeping the Gala running smoothly
- Oversee the set-up, auction and break down of event
- Provide a day of event timetable/speaker points for auctioneer
- Oversee the Holly House team and volunteers on duties throughout the event
- Oversee decorations, setup and food prep on the day of the event
- Oversee the registration committee and check out process
- Oversee getting auction info to bookkeeper
- Oversee sending out thank you letters to donors and bidders

Warehouse/Distribution
Center Acquisition Representative
Holly
House needs a home. Help us find a home,
a place where we can hold meetings, work parties and take potential donors and
volunteers on tour to show them what an incredible operation Holly House is – an
operation focused solely on meeting the needs of the low-income children in our
community who deserve a chance to lead normal, healthy lives – who can be “just
kids” instead of having to carry the weight of the world on their shoulders.
We
are looking for a volunteer who can help find and negotiate the donation of a
permanent warehouse and distribution space for Holly House.
Holly
House is in need of a large warehouse space where we can store,
throughout the year, all the gifts and necessities we collect for our 2,200
Holly House kids and also use as a distribution center for our kids
during the annual Holly House event in December.
Duties
include:
- Locate a 7-10 thousand square feet warehouse in the Lynnwood/Edmonds/Mountlake Terrace Area
- Lots of parking for the clients who come to Holly House to pick out gifts and necessities for their children in December
- Large enough for all the items we store for our 2,200 kids - socks, underwear, pajamas, hats, scarves, books, toys, stocking stuffers, dental supplies, blankets, etc.
- Large enough for work parties throughout the year
- Appropriate to also serve as our distribution center during Holly House in December
- Good security
- Bathrooms
- Running water
- Electricity and heat
- Kitchen – optional but would be very helpful
- Easy access to unload trucks/vans as donations come in throughout the year
- Pallet unloading and pallet storage access
This
will increase our ability to accept donations year-round, to accommodate all of
the pallets of toys, stocking stuffers and pajamas we receive; eliminating the
need to transport all of the donations for distribution every year and to be
able to set up for the annual event in a timely manner. It will also give us a site to work with
volunteers throughout the year and give tours and information to potential
donors and sponsors.
Requirements:

Be a Volunteer Fundraiser
Where
you the top Girl scout cookie seller in your troop? Did you sell the most candy bars during your
grade school fundraiser? Where you the
kid who joined the Booster club in High School and helped raise money for new
band costumes or the sports team uniforms?
Were you part of the Key Club and joined the PTA to help raise money for
your kids? Is fundraising in your blood
and you don’t even know it?
Fundraising
plays an essential role in Holly House, whether it’s a donation of $20 a month
or a $1,000 donation. We simply could
not function without committed and innovative fundraisers. Help us increase the contributions of
individuals and groups by building relationships and exploring new fundraising
techniques and ideas. Become a
fundraiser for Holly House.
Duties
include:
- Help secure funding from companies, local businesses, corporations, individuals, friends, and family
- Do internet research for potential donors
- Find donors committed to donating $20, $25, $50, $100 to Holly House monthly
- Find Holly House annual sponsors who will donate $500, $1,000, $5,000 or more yearly
- Help organize fundraising events
- Find sponsors for the annual Holly House Gala
Requirements:
Holly
House is funded fully by donations and grants.
Fundraising is the lifeline for our budget. A fundraiser must be:
- Energetic, committed, outgoing
- Strong interpersonal skills
- Strong relationship building skills
- Good written and verbal communication skills
- A professional and friendly telephone manner
- Good listening skills
- Available by phone and internet
- Ability to present to local businesses, service organizations, churches, women’s groups etc.
- Previous fundraising experience would be a bonus

Procurement Manager
Our
community is so generous, especially when we tell them our kids go to school
without socks and underwear, don’t have warm pajamas and aren’t sure they will
be having Christmas this year. So many
step-up and donate, or do drives or shared the needs with their friends and
families who then give generously.
Procurement, getting items for our children, is part of the lifeblood of
Holly House. We have learned that people
want to give, they just don’t know how or where.
We
need a procurement manager who will oversee the acquisition of 4,400 pairs of new
pajamas, 5,000 new socks and underwear, 4,400 new toys, dental supplies for 2,200
children, 7,500 books, etc. throughout the year. This volunteer is essential to getting the
items needed to make sure our kids get what they so desperately need. Without the donations there would be no Holly
House and many children in great “need”.
Duties
include:
- Oversee procurement of donations year-round
- Reaching out into the community for donations – businesses, service organizations, individuals, etc.
- Help procure items by talking to companies on the telephone, internet research and by approaching local businesses, and corporations
- Arrange for delivery of items
- Purchase items with funds as directed by Executive Director to fill needs of donations
- Work closely with Inventory Manager, School Ambassador and Executive Director
Requirements:

Warehouse Worker
Do
you have great organizational skills, love to see “chaos” become “order”, a
desire to work with others to accomplish a project? Do you want to be part of getting ready for
the Holly House event in December? Help
by becoming a work party volunteer.
Throughout
the year, we have the need to manage inventory and get it packed and ready for
the event. Organizing things ahead of time saves us energy during the event. We
need lots of hands to get this done. Sometimes this need springs up last
minute, sometimes they are planned in advance. Being part of the group that
keeps Holly House in order all year is a great way to help our cause!
Duties
include:
- Help as needed to sort, organize, move, pack inventory during work parties or other events.
- 3 - 4 hours per event
- Load/unload trucks, cars, storage units, etc.
Requirements:
- Available any or all - week days, evenings, weekends as needed (especially week days)
- Let us know if you are available during week days
- Work well in a team setting

Volunteer Warehouse
Receiving Position
Our
warehouse is multi purposed. We use it
to process and store pallets of toys, donations from individuals and from gift
drives. We also use it as a place to
recruit new volunteers, acquire potential donors and sponsors to Holly House
and to show children, donors how the many donations we get impact our Holly
House kids. It’s challenging since at
the present time we work out of 10 x 10 storage units as we search for a
warehouse/multipurpose site that will better meet our needs.
Duties
include:
Our
volunteer warehouse receiver will be working with the Executive Director and
key Holly House staff to develop and refine the job description.
Requirements:
- 1 - 2 year commitment
- Needs to be very creative
- Lots of flexibility, things are always in flex as Holly House
- Good people skills
- Ability to lead and enjoy a team of volunteers, donors, sponsors, and kids
- 4 - 7 hour time commitment weekly – more during October through December

Blog Administrator and
Author (3-10 hours/month)
How
are your writing skills? Have you ever
written articles for a blog? Holly House
is looking for a skilled blog writer, one who can tell stories in word and
picture about the many happenings and needs Holly House has.
We
depend on the blog as well as our website and Facebook page to give our
volunteers, donors, potential donors and sponsors a big picture of who we are
and what we do for our Holly House children.
Our
blog contains personal interest stories, updates and ever-changing details
(volunteer opportunities, event calendar, etc.). This is also the first point
of contact for new volunteers to fill out an intake form.
Duties
include:
- Maintain all technical aspects of the blog, including adding widgets, removing outdated items, etc. to keep the blog current and accurate.
- Write blog articles on a monthly basis (2-3 articles/month)
- Interview volunteers for a volunteer spotlight piece monthly
- Keep “current drop off locations” page maintained
- Work directly with the Executive Director to provide a quarterly update posted to the blog.
- If possible, this person also works with the web designer to maintain fluid data on the website (for example keeping the Sponsor list updated on the website).

School Ambassador
Are/where
you in the PTA, actively involved in school activities? Do you have a huge
drive to show kids how they can be involved, how they can help kids who
have less than they do? Become a School
Ambassador.
Duties
include:
- Developing relationships with the PTA’s and school staff
- Hold donation drives at the schools through the year and especially during the Holidays
- Center drives around new socks & underwear, sports equipment, stuffed animals, toys, stocking stuffers, hats, scarves, dental supplies, etc.
- Get the students and staff involved in the drives
- Provide each school with what they need to hold a successful drive
- Maintain data on locations and contacts for each drive
- Arrange for delivery of donations to Holly House
- Provide official Holly House “thank you” after the event
- Keep the Executive Director updated
- Submit data at the end of the year
- Notify the Blog Administrator of current drop locations to keep the blog updated
Requirements:

Designer (one time project)
Can

House has a huge story to tell…what we do, the many hands it takes to do it and
the many children and their families Holly House touches.
We
need 2 videos that can communicate our vision and enthusiasm for our goals to
potential donors, supporters, sponsors and volunteers. One that we can show at fundraisers, post on Facebook
and YouTube, and use during presentations, the other documenting Holly House
from January to December.
One

Duties
include:

Holly
House has a story to tell; parents
entering Holly House for the first time, the tears streaming down their faces
as they realize their children will have a Christmas, a mother in front of the toy booth picking
out gifts that will make each one of her children squeal with delight when they
open their gifts Christmas morning, A
volunteer whose life is being blessed out of their socks as they lead a family
through Holly House helping the mom and dad pick out pajamas, toys and books
for each of their children, hearing their heart wrenching story, Capturing the volunteer faces as they work
hard to make sure each of the families feels like they are the most important
people on this earth at that moment.

Duties
include:
- Attending Holly House functions to take story telling photographs
- Document pictures of volunteers, clients, the Holly House Team

- Photos from other functions such as work parties and fundraisers
- Lifestyle or editorial type photos that tell our story
- Photos we can use on our website, brochures and social media

Administrative Assistance
(5-7 hours/week)
This
person works directly with the Executive Director to provide computer based
administrative assistance, creating and updating documents as needed.
Duties
include:
- Providing page layout, design help, and proofreading for communications, brochures, flyers, emails, etc.
- Creating press releases as needed
- Creating and maintaining documentation for project work related to Holly House
- Providing technical assistance surrounding MS Office products (Word, Excel, Powerpoint)
- Knowledge of Google Drive required
- Excellent communication and grammar skills required
- Creating and maintaining spreadsheets tracking donors, drives, drop sites, etc. relating to project management of the 3-day event.
Volunteer Database
Manager (5-10 hours/month, more after large events, 15-20 hours in December)
Holly
House keeps record of all volunteer and donor contacts, in addition to the
events in which they have participated. As new volunteers and donors are
identified, they need to be added to our database, and maintain known changes
to data. In December, this person also has contact with many volunteers during
the RSVP for the event.
Duties
include:
- Update database (currently a very large excel spreadsheet) with contact and donor information
- Update database with event participation
- Update solicitation preferences
- Update email campaign system with new contacts
- Acts as first point of contact with new volunteers by sending them a welcome email
- Provide reports a needed to Executive Director (filter by type, event, skills, etc.)
- Monitor Google form responses weekly (or via email notification) for new volunteers who have filled out a profile form.
- Works closely with the Mailing List Manager (or could be the same person)
- During the 3-day event weekend, this person is also responsible for maintaining and organizing volunteer RSVPs, and communicating with those volunteers as needed
- Working knowledge of Google Sheets, Google Forms, Excel, Mailchimp, and Yahoo mail
- Excellent communication skills
- Ability to learn new systems as needed (we are working towards a database solution)
Database Designer -
Technical (time depends on experience and solution)
Holly
House has grown exponentially in the last 2 years and is in need of a way to
manage our contacts, volunteers, and donors. We need a database designed that
will meet those needs, to store and organize data, and be easily usable for our
staff and volunteers.
Duties
include:
- Identify a technical solution that meets requirements (as provided separately)
- Work with Executive Director to build and test a solution
- Migrate data from existing Excel spreadsheet into new system
Mailing List Manager (1-3
hours/month)
We
currently use MailChimp to house our contacts and communicate periodically with
our contact base. This person works closely with the Volunteer Database Manager
and the Executive Director to maintain the contact list and send out
appropriate emails when directed.
Duties
include:
- Create visually pleasing email templates for mail campaigns using MailChimp
- Work closely with the Executive Director to communicate to Holly House contacts when needed
- Maintain mail list unsubscribes by working with database manager to keep customer records updated with preferences
Volunteer Bookkeeper (Average of six (6) hours/month )
Holly
House needs someone to keep track of the financial aspects of running a
non-profit.
Duties
Include:
- Maintain financial information in QuickBooks online
- Send out donation statements
- Produce regular and requested reports from QuickBooks
- Track PayPal giving
- File financial and other paperwork regularly at headquarters
- This is a volunteer position
Requirements:
- Bookkeeping experience, preferably with a non-profit, but not necessary
- Familiarity with QuickBooks
